Super-users Etc.
March 4th, 2010 . by hunt.wadeHello,
I am wondering if AZZ Cardfile can have numberous super users. I work for a medium sized organization of about 200 people and would like to have all the orgnaization be able to view the information on cardfile, but I do not want them to be able to edit the information, just view only.
Then I would assign certain indiviudals (Super-users) within various workgroups to update the information for that specific workgroup. I would like to see that all the employees would still be able to view information add.
Thanks,
Wade

I’m using version 3.2, which has the capability to export the cards in a file as text or RTF. I don’t know if that would suit your needs, but that is one option.
You can have any number of card files you wish each containing as many cards as you want. Each of those individual card files can be stored in a different location in your “Documents” section of your computer, and in fact it is not a good idea to allow the AZZcardfile software to automatically place the files it creates in the programs area of your computer. I have had computers and hard drives die and the computer technicians were unwilling to retrieve files generated from software that was stored in the programs area of the computer.
You would be able to save a file, for example clients03122010 for today’s work and distribute the resulting file and then when you need to update, just resave the file with a new name such as clients03142010. This isn’t the only method for updating, but it works. Of course, if you allow your workers access to these card files, the master should be filed elsewhere.
Think of these individual card files with the hundreds or perhaps thousands of files they might contain as nothing more than a word processor document because you are simply using the software to create a document, the card file, which you can save anywhere on the computer. You can deliver that card file document to anyone and you can even e-mail it to someone if they have the software to open it.
Now if each worker had their own AZZcardfile software to view the files you provide and someone accidentally deleted or changed an individual card, all they would have to do is close the program and not save any changes made (assuming automatic saving was turned off). It would not be so damaging anyway because, hopefully, your supervisors have their master files tucked away elsewhere.
By the way, AZZcardfile automatically generates a backup file, but a copy of that should also be moved from the program files area where it is normally stored and placed elsewhere. The files and backups, just like any type of document, can be stored and saved to some type of removable storage media.
i’ve got the same problem! advice please!
